Founded in 2002, the Nuclear Waste Management Organization (NWMO) is a not-for-profit organization tasked with the safe, long-term management of Canada’s intermediate- and high-level radioactive waste, in a manner that protects people and the environment for generations to come.  

The NWMO has been guided for more than 20 years by a dedicated team of world-class scientists, engineers and Indigenous Knowledge Holders who are developing innovative and collaborative solutions for nuclear waste management. In 2024, the NWMO selected Wabigoon Lake Ojibway Nation (WLON)-Ignace area as the site for our Deep Geological Repository for used nuclear fuel.

 

This decision means our office and staff will, in the future, be relocating to Ignace, ON, and the DGR will be situated in the Wabigoon Lake Ojibway Nation-Ignace area. Infrastructure planning and development is underway to support this transition and ensure that both the community and our employees are well-served and supported now and in the future.

 

 

 Records Clerk

Job Summary:

Reporting to the IT Director, the Records Clerk is responsible for document management operations within a business office setting of an office environment.  Perform a wide variety of duties that require review and attention to detail and any other departmental activities. Provide the following records services.

Responsibilities

  • Perform full range of records activities in various phases of document life cycle management.  Maintain follow-up controls for record management as per established records procedures and records retention schedule.
  • Perform detailed information and literature searches and retrievals from external sources.  Order publications and process loan requests and process payment for same if necessary.  Maintain a network of external suppliers for publications and documents.
  • Convert documents to various formats and transfer data between systems.
  • Assist in the testing and implementation of document management databases, web pages, applications and all related tools and systems.  Prepare and review procedures, cataloguing and classifying manuals.
  • Provide editorial, grammatical, and proofreading assistance in the preparation of technical publications, reports and manuals. 
  • Perform document processing for grammatical and template related issues within documents.
  • Perform quality checks and carry out audits of all records, verifying integrity and security of documents.  Maintain masters and histories.
  • Answer queries from employees, supervisor, external libraries and general public.
  • Operate and be responsible for the routine maintenance of a variety of business office equipment.
  • Provide a variety of administrative functions.
  • Be accountable for the health, safety and well-being of self and others, in accordance with procedures and standards.

Qualifications and Experience

  • PWU represented role - Band 2
  • Grade 12, plus additional short courses in a related field such as document management, records and information management or equivalent.
  • Minimum 2 years’ experience.
  • Outstanding attention to detail.
  • Experience in document processing and document life cycle management.
  • Strong administrative and organizational skills.
  • Advanced proficiency with Microsoft Office applications (Outlook, Excel, Word, and PowerPoint).
  • Knowledge of SharePoint and any other Records Management systems/software.
  • Excellent written and verbal communication skills and the ability to draft effective communications (emails, letters, memos and instructions) with exceptional grammar and proof-reading skills.
  • Must be a self-starter with an inherent desire to learn and the ability to quickly self-teach new skillsets.

Other Information

Must be eligible to work in Canada and must be able to meet security clearance requirements.

 

Candidates residing in the Greater Toronto Area: Office Location – 22 St. Clair Avenue East until their role is required at site.

 

NWMO currently operates in a hybrid work model of 3 days in the office (Tuesdays being universal) and 2 days working from home.
